School Enjoys Contact Sharing

St. Mary’s Academy shares a Google Sheet file with each teacher containing the phone numbers and email addresses of each of their students. This equates to inefficient management and sharing of student contact information. Thus, they sought a contact management solution to improve faculty communication while ensuring data privacy and security.

The Customer

St. Mary’s Academy advocates high academic standards, a supportive learning environment, and strict privacy regulations. The dedicated team of educators and administrators ensures the integral development and growth of the students. Through intellectually challenging and interactive learning, the school molds its students to strive for excellence in all their endeavors while embracing a sense of social responsibility for the community.

The Challenge

01 . Need an efficient contact directory

They currently lack a centralized platform for organizing and sharing student contact information with teachers which leads to inefficiency of handling contact data. The student's contact database per class was on a spreadsheet and teachers need to manually enter it to their phone. St. Mary’s Academy uses Google for Education, wherein sharing Google Contacts is not smooth unlike sharing Google Docs or Sheets. The absence of a structured directory per class hindered efficient communication and coordination between teachers.

02 . Selective sharing of data

Additionally, the school registrar does not need to share all the details of the student like home address, parent’s contact information, and registration notes with the teachers. Without a proper contact sharing application, the registrar had to generate an additional worksheet specifically tailored for sharing with the subject teachers, excluding irrelevant data. The lack of direct integration of Google Sheets to Google Contacts makes the situation more complicated. Automating this task can significantly save time and improve the efficiency of monitoring and distributing the student contact list.

The Solution

To address the school's challenges, ContactsFlow™ (formerly Shared Contacts for Gmail™) presented their app which integrates a secure, user-friendly platform for managing student contact information. The solution included a directory per class accessible to teachers, displaying only their phone numbers and email for class works while restricting access to sensitive data such as home addresses and private notes, which remained accessible only to the admin.
