The Customer

GreenAxis is an umbrella organization driving sustainability in construction and development. It includes:

  • GreenAxis Consulting, which helps buildings achieve LEED, WELL, and Carbon Zero certifications
  • GreenAxis Construction, specializing in building and retrofitting projects to meet green compliance standards
  • GreenAxis Systems, offering carbon tracking and green building tech solutions
These entities, while operating independently with separate Google Workspace domains, often collaborate across projects nationwide.

The Challenge

01 . Disconnected directories across divisions

Each GreenAxis subsidiary maintained its own Google Workspace domain. This led to isolated contact directories between the consulting, construction, and systems arms. Project teams struggled to find the right people across entities. An engineer from GreenAxis Construction might need to reach a compliance consultant or sustainability auditor from another domain, but lacked instant access to the latter’s contact details.

Miscommunication, duplicated outreach efforts, and lost time chasing contact details put green certification timelines at risk. Native Google Workspace settings did not support cross-domain directory visibility, leaving no unified source of contact truth.

02 . Exposure of internal or sensitive fields

Contact records in GreenAxis often include sensitive data like internal notes, personal phone numbers, or home addresses. While GreenAxis wanted to share contacts across teams and even with external partners (like city planners, vendors, or LEED auditors), they needed to keep sensitive fields hidden.

Inappropriate data exposure could breach privacy regulations or damage trust with stakeholders. Tools that allowed sharing typically had all-or-nothing visibility—no way to selectively hide fields or segment access by role.

The Solution

GreenAxis adopted Shared Contacts for Gmail™ to bridge its directory silos. Using Organizational Unit-based sharing, the company shared only relevant contact lists across domains. For example: →The GreenAxis Systems tech team could access key project managers in GreenAxis Construction →GreenAxis Consulting shared sustainability consultants with approved vendors and clients To safeguard privacy, they used the Hidden Fields feature to keep internal notes, personal details, and financial data invisible to unauthorized users—even if the contact was shared.

Helpful Features
Multiple domain sharing

Invite individuals from other organizations to view and collaborate on contact lists.

Specific fields permissions

Hide specific fields in contact entries from collaborators who do not need access to sensitive contact details.

Android / iOS Apps

Easily manage collaborators, contact lists, and Google Contacts labels directly from a phone.

The Result

GreenAxis now operates as one interconnected organization while preserving the independence and data control of each business unit. Shared Contacts for Gmail™ eliminated bottlenecks in communication and reduced the need for admins to mediate every contact request.

Cross-division teams collaborate more effectively. Field technicians on-site can now reach compliance officers or sustainability experts from any device, without requesting updated spreadsheets or digging through emails.

Shared Contacts for Gmail™ is the only app we found that lets us share OUs externally while keeping confidential info hidden. Now, we have one secure contact source that adapts to our organizational structure and confidentiality needs. It's a huge win for our productivity and compliance workflows."
